Title: Community Association Manager/Manager in Training (MIT)

Job Type: Full Time


The primary purpose of this position is to develop a Community Association Manager. This is to be accomplished through management training on entry-level accounts. The MIT will report to a Director and the Operation supervisor. The Community Manager Trainee (MIT) is responsible for their Assistant Managers tasks and the management duties of their selected accounts. The Community Manager Trainee (MIT) is responsible for consistent enforcement and tracking of CH Policies & Procedures, statutory deadlines, quality control of the CH product delivered to clients, and overall client satisfaction.

As a Community Association Manager Trainee, your key responsibilities include, but are not limited to, the following:
 

Develop the following skills in Portfolio Management:

  • Responsible for management Assistant and Manager roles of entry-level HOA clients.
  • Oversight of associations’ financials and guides board members in financial decisions.
  • Prepare and facilitate monthly, bi-monthly, and quarterly board meetings as required for each association.
  • Initiate and prepare a pro-forma operating budget based on each community's current and future needs.
  • Ensure continued education and working knowledge of case law, California civil codes, and corporation
  • codes related to the community association management industry.
  • Conduct monthly site inspections for violation tracking and non-compliant issues proactively.
  • Creative problem-solving for financial stability and asset management.
  • Responsible for Vendor Contract Management and Performance.
  • Adherence to annual calendar deadlines, including but not limited to, reserve studies, budget mailer,
  • annual election, and all civil code deadlines.

Develop the following skills in Client Management & Retention:

  • Consistent “Friday Updates” to all clients.
  • Timely assess the need for supervisor Involvement
  • Management Contract Knowledge.
  • Superior Quality Control and Delivery of CH Product

As an Assistant Manager, your responsibilities are as follows:

  • Responsible for Board Book reports in accordance with the Board Book Reports Policy/Procedure.
  • Responsible for work order processing and preparation of monthly Work Order report in adherence with policy.
  • Responsible for violation tracking and correspondence. (Courtesy Letters, Notice of Hearings and
  • Hearing Result Letters), in adherence of company policy.
  • Print, Copy and Bind Board Books, if requested within policy timeline.
  • Timely assess the need for supervisor Involvement.
  • Superior Quality Control and Delivery of CH Product
  • Meeting Minutes; Scan, upload to Caliber, save to P-drive and file original in minute book. Email a copy to Escrow Associate.
  • Executed Contracts; Scan, save in P-drive. Send copy of the approved contract to the vendor.
  • Customer Service; Phone and email support for assigned accounts and back-up support for main line calls.
  • New Owner Courtesy Notices (Architectural)
  • Responsible for Community Email Blasts, as directed.

Special Projects (to be billed according to contract)

  • The following includes, but, is not limited to all Reserve Asset projects, Garage Inspections, Fuel
    Modification Letters, Painting Projects, Community Signage Projects, Special Notice of Hearings for
    suspension of privileges and Field Support.

Personal Growth:

  • Develop and achieve personal goals.
  • Once supervisor approval is received, begin taking the M100 class
  • Once supervisor approval is received, attend informational CAI luncheons as time permits

Preferred Experience/ Minimum Qualifications

  • Must have a minimum of one year preferred as an assistant manager or equivalent work experience.
  • Must possess intermediate computer skills including experience w/Microsoft Office applications.
